By ticking the Terms & Conditions Box on your purchase you agreed that you have read and understood the following. If you don’t agree with any of the below, please do not purchase the ticket as you will be bound to these Terms & Conditions.

Event Waiver & Horse Health Declaration

Everyone (yes everyone) that comes to the gathering must have a completed waiver form.  If you are ​bringing a horse you will also need to complete a Horse Health Declaration.  The forms required for entry can be located by Clicking Here.

Cowgirls Gathering - Terms & Conditions

Thank you for your interest in Cowgirls Gathering.  Before purchasing tickets, please carefully read the following terms and conditions. If you do not agree with any part of these terms, we kindly ask that you do not proceed with your transaction. By purchasing, holding, or using a Cowgirls Gathering ticket, you agree to comply with the following Terms of Use and Entry.

1. General Terms

  • Cowgirls Gathering reserves the right to update or amend these terms and conditions at any time without prior notice. Changes will be published on our official website: www.cowgirlsgathering.com.au and apply retroactively to ticket purchases.

  • Ticket prices are listed in our online shop and are non-negotiable.

2. Ticket Packages and Access

  • Each ticket represents a revocable license to attend Cowgirls Gathering from 12:00 PM Thursday, 2 October to 10:00 AM Monday, 6 October. Entry prior to this time will not be permitted.

  • Your ticket may be revoked at any time at the sole discretion of the event organisers, without compensation. Tickets become the ticket holder’s responsibility once issued. Cowgirls Gathering is not liable for lost, stolen, damaged, or destroyed tickets.

3. Entry Policies

  • > NO DOGS are permitted anywhere on the premises, breach of this policy will result in removal from the event.

  • > NO BYO ALCOHOL is allowed. Alcohol may only be purchased from licensed vendors on-site.

  • > NOISE CURFEW from Midnight Thursday through Sunday. This includes music, loud conversations, and generators.

4. Ticket Validity and Use

  • Cowgirls Gathering is the only authorised ticket seller. Tickets obtained from unauthorised sources may be counterfeit and are void. Tickets cannot be resold, reproduced, or used for promotions without written consent. Violators may be denied entry or have tickets cancelled without refund.

5. Refund and Cancellation Policy

  • > The event is considered delivered once it commences at 8:00 AM Friday. No refunds will be issued from that point.

  • > In the event of venue issues, weather problems, regulations, or emergencies, no refunds or credits will be provided.

  • > If the event is cancelled due to unforeseen circumstances, Cowgirls Gathering reserves the right to: i) reschedule the event, ii) issue a full or partial refund, or iii) offer no refund.

  • > In cases beyond our control (e.g., natural disasters, government directives), Cowgirls Gathering may provide refunds or reschedule the event.

  • > No refunds will be issued if the event is postponed and rescheduled.
  • > Refunds, if issued, apply only to ticket face value. Processing, handling, and shipping fees are non-refundable.

  • > Losses due to currency fluctuations are the responsibility of the ticket holder.

  • > All ticket sales are final. No exchanges, returns, or cancellations.

6. Entry Requirements

  • Cowgirls Gathering is a rain-or-shine event. Minimum age to attend is 1 year. Attendees under this age will be denied entry without refund. All attendees must present valid ID matching their ticket at the gate. By entering, attendees consent to information collection for verification and security purposes.

7. Liability and Conduct

  • Cowgirls Gathering is not responsible for personal injuries, losses, or stolen/damaged property.

  • Zero tolerance for illegal substances, lewd behavior, or prohibited items. Violators will be ejected without refund.

  • By purchasing a ticket, you waive the right to initiate chargebacks or payment disputes.

8. Dispute Resolution

  • Any disputes will be resolved by Cowgirls Gathering. If unresolved, an independent arbitrator may be appointed.

9. Accommodation & Camping

  • Event closes at 5:00 PM Sunday; camping is available Sunday night. Camping requires BYO gear. Sites are unpowered. Campers must follow directions from event staff.

10. Vendors, Trade Stalls & Retailers

  • Full payment is required to secure vendor sites. Vendors must follow instructions on site allocation, setup/pack-down timing, and trading hours (9:00 AM Friday to 4:00 PM Sunday). Vendors are responsible for their rubbish and site cleanliness. Insurance and licenses must be provided before the event. Cancellations before 30 June receive a full refund. After that date, no refunds will be issued.
