General Terms

Cowgirls Gathering reserves the right to amend or update these Terms & Conditions at any time without prior notice. Any changes will be published on our official website, www.cowgirlsgathering.com.au, and will apply to all ticket holders, including those who have already purchased tickets. All ticket prices listed in the online shop are final and non-negotiable.

Ticket Packages & Event Access

Each ticket grants the holder a revocable licence to attend Cowgirls Gathering from 12:00 noon on the day prior to the advertised event start date to 10:00 am on the day following the advertised event end date.

For clarity:

• If the event commences on a Friday, access will be granted from 12:00 noon on Thursday.
• If the event concludes on a Sunday, access will close at 10:00 am on Monday.

Entry outside of these times will not be permitted unless otherwise approved in writing by Cowgirls Gathering. Cowgirls Gathering reserves the right to revoke any ticket at its sole discretion, without compensation. Once issued, tickets become the responsibility of the ticket holder. Cowgirls Gathering is not liable for lost, stolen, damaged, or destroyed tickets.

Entry Policies

To ensure the safety and enjoyment of all attendees, the following policies apply:

• No dogs are permitted anywhere on the premises. Breach of this policy will result in removal from the event without refund.
• No BYO alcohol. Alcohol may only be purchased from licensed on-site vendors.
• Noise curfew applies from midnight every night, including music, loud conversations, and generators.

Failure to comply with these policies may result in removal from the event without refund.

Ticket Validity & Use

Cowgirls Gathering is the only authorised ticket seller. Tickets obtained through unauthorised sources may be counterfeit or invalid and will not be honoured. Tickets may not be resold, reproduced, or used for promotional or commercial purposes without prior written consent from Cowgirls Gathering. Any breach may result in cancellation without refund and, or, refusal of entry.

Refund & Cancellation Policy

Cowgirls Gathering is a live event and the following conditions apply:

• The event is considered delivered once it commences at 8:00 am on the advertised first official program day. No refunds will be issued after this time.
• Cowgirls Gathering is a rain, hail, or shine event.
• No refunds or credits will be provided due to weather conditions, venue issues, regulatory changes, or emergencies.
• If the event is cancelled due to unforeseen circumstances, Cowgirls Gathering reserves the right to:
  1. reschedule the event,
  2. issue a full or partial refund,
  3. offer no refund.
• No refunds will be issued if the event is postponed and rescheduled. If refunds are issued, they apply only to the ticket face value. Processing, handling, and transaction fees are non-refundable. Currency fluctuation losses are the responsibility of the ticket holder.
• All ticket sales are final. No exchanges, returns, or cancellations.

Entry Requirements, Ages & Supervision

Cowgirls Gathering is a family-friendly event, however it operates within an active equine environment and carries inherent risks.

• All persons under the age of 18 must be accompanied by a parent or legal guardian at all times.
• Parents and guardians are solely responsible for the supervision, safety, and conduct of minors in their care.
• Minors must not be left unattended anywhere on the event grounds, including camping areas, arenas, trade spaces, livestock areas, or car parks.
• Cowgirls Gathering does not provide child supervision services and accepts no responsibility for the supervision of minors.
• Any minor engaging in unsafe or inappropriate behaviour may be removed from the event along with their supervising adult, without refund.

By attending the event, parents and guardians acknowledge and accept the inherent risks associated with horses, livestock, uneven terrain, machinery, vehicles, and large crowds.

Liability & Conduct

Attendance at Cowgirls Gathering is at your own risk. Cowgirls Gathering accepts no responsibility for personal injury, loss or damage to property, or theft. There is zero tolerance for illegal substances, lewd or inappropriate behaviour, or prohibited items. Any breach may result in immediate removal from the event without refund. By purchasing a ticket, you waive the right to initiate chargebacks or payment disputes.

Dispute Resolution

Any disputes will first be addressed directly by Cowgirls Gathering. If a resolution cannot be reached, an independent arbitrator may be appointed in accordance with applicable Australian law.

Accommodation & Camping

The event closes at 5:00 pm on the final advertised program day. Camping will be available on the final evening until 10:00 am the following morning.

• Camping is unpowered unless otherwise specified.
• Attendees must bring their own equipment.
• Campers must follow all directions from event staff regarding site allocation, safety, and conduct.

Vendors, Trade Stalls & Retailers

• Full payment is required to secure vendor sites.
• Vendors must comply with site allocation instructions, setup and pack-down times, and designated trading hours.
• Vendors are responsible for their own rubbish removal and site cleanliness.
• All required insurance certificates and licences must be submitted prior to the event.
