Cowgirls Gathering Photographer Policy
Purpose: This policy outlines the guidelines and expectations for photographers capturing images at Cowgirls Gathering. It ensures professional conduct, respect for attendees, and responsible use of event photographs and videos.
1. Permissions and Access

All photographers must register and be approved by Cowgirls Gathering to obtain an official photography pass.

Photographers are allocated to designated areas during the event unless otherwise authorized by the event manager.

Written consent has been provided by all attendess as part of the Terms & Conditions of the ticket sales by Cowgirls Gathering.
2. Privacy and Consent

No photographs are to be taken in areas marked as private or restricted.

Attendees have been made aware by Cowgirls Gathering that the that the event is being photographed.

Images of individuals in sensitive situations (e.g., visibly emotional or in compromising positions) are prohibited unless express consent is given.
3. Usage Rights and Ownership

Photographs taken during the event may only be used for the agreed-upon purposes.

Copyright ownership should be discussed and documented before the event. If images are transferred, written agreements must specify rights.

Photographers must provide the organization with copies of agreed-upon images within the designated timeframe.
4. Code of Conduct

Photographers must act professionally and respectfully towards all attendees.

Disruptive or intrusive behavior (e.g., blocking views of other photographers, excessive flash usage) is prohibited.

Equipment must not obstruct pathways or create safety hazards.
5. Editing and Alteration

Edited images should maintain the authenticity of the original scene.

Misrepresentation through excessive editing (e.g., altering the context of the event) is prohibited.
- Cowgirls Gathering must not edit any images beyond changing the image transparency and also using content over the image for marketing purposes.Â

Significant edits must be approved by Cowgirls Gathering before public release if they impact the perception of the event or organization.
6. Social Media and Promotion

Social media content or promotional use of event images does NOT need to be approved by Cowgirls Gathering before posting.

Photographers must receive proper credit in any official use of their images.

Images must not be posted in a way that could damage the reputation of Cowgirls Gathering or its attendees.
7. Consequences of Policy Violations

Failure to comply with this policy may result in removal from the event and/or revocation of photography privileges.

Unauthorized use or distribution of images may lead to legal action.
