An invitation to put your products in real working hands, in front of fifty cowgirls who actually use them.
An agreement, plainly written.
This Brand Partnership Agreement is entered into between Cowgirls Gathering (the Organiser) and the participating brand (the Partner) for involvement in the Cowgirls Mini Gathering 2026. Everything that follows is the working detail of how the partnership runs, what's included, what's expected, and how content is captured and used.
Five days in Kilkivan, with fifty horsewomen.
The Cowgirls Mini Gathering is a five day immersive horsemanship event designed for women seeking to develop their riding skills within a supportive and practical learning environment.
Up to fifty riders work with selected female instructors across five days of instruction, riding, and community engagement. Event dates are Monday 28 September to Friday 2 October 2026, with a Sunday welcome the evening before and bump out by Saturday morning.
$500 + GST, paid on acceptance.
The Brand Partnership Fee is a flat $500 AUD plus GST. This contributes toward event delivery, administration, content production, and product integration. It is separate from, and in addition to, the cost of any products supplied by the Partner.
Event delivery, admin, on-site coordination, content production across the week, and the work involved in integrating your products meaningfully into the Mini.
The Partnership Fee is payable at the time of acceptance of this Agreement, unless otherwise agreed in writing.

Eight ways your brand shows up.
Each of the inclusions below is delivered through the natural rhythm of the event, integrated rather than advertised. We use organic, in-situ content rather than scripted promotion, because that's what actually lands with this audience.
Your brand may be featured on Cowgirls Gathering social channels in the lead-up to the event.
Your products may be included in organic content captured and shared across the five days.
Where products are clearly identifiable, we'll use reasonable efforts to tag your social accounts.
You'll receive at least one acknowledgement post during the event recognising your participation.
Your brand may be included in post-event content shared across Cowgirls Gathering platforms.
Products may be used by riders, instructors, and the Cowgirls Gathering team in practical event settings.
Where quantities allow, products may be included in rider welcome bags at the discretion of the Organiser.
Direct connection with fifty cowgirls, educators, and the team on the ground, plus access to an engaged audience of 17,000+ followers and over 2.4 million Facebook views in the past year.
All inclusions are subject to availability, suitability, and event conditions. No minimum or guaranteed volume of content, engagement, or exposure is provided.
Real products, in real horsewomen's hands.
The purpose of this Agreement is to enable the integration of your products into the Cowgirls Mini Gathering, showcasing practical use by horsewomen in real environments. Not a stage. Not a stand. Used.
Product suitability, delivery, and access.
Suitability
Products supplied must be suitable for use within a horse and rural environment, and align with the values and standards of Cowgirls Gathering. Products may be used:
- In the saddle
- Around horses and yards
- During camp and daily activities
- As part of rider gear and lifestyle
All supplied products become part of the event experience and will not be returned unless otherwise agreed in writing. The Organiser reserves the right to approve or decline any products deemed unsuitable.
Delivery
All products must be received no later than 1 August 2026. Failure to meet this deadline may result in exclusion from event integration, content, and promotional opportunities. The Partnership Fee remains non-refundable.

On-site presence
The Cowgirls Mini Gathering does not include vendor stalls, trade displays, or on-site retail opportunities. This Agreement relates solely to product integration within the event, not physical presence at the venue.
Brand partners are not expected to attend in person. The work happens through the products themselves, used by the cowgirls and the team.
How content is captured and used.
Photo and video content is captured throughout the event. By entering this partnership, you acknowledge and agree that:
Content may be used across Cowgirls Gathering marketing channels.
The Organiser retains full rights to all content produced.
You may be tagged where products are clearly identifiable.
No specific number of posts, impressions, or engagement levels is guaranteed.
What we do, what you do.
Cowgirls Gathering will
- Use reasonable efforts to integrate Partner products into the event
- Capture event content which may include Partner products
- Tag Partner social media accounts where appropriate
- Include suitable products in welcome bags where applicable
- Promote the event across our marketing channels
We do not guarantee specific exposure outcomes. All promotion occurs organically.
The Partner will
- Supply products appropriate for the event
- Deliver products by the specified deadline
- Provide accurate product descriptions and brand information
- Provide current social media and website details
- Cover all costs associated with production, packaging, and delivery
Liability, cancellation, and termination.
The Organiser is not liable for loss, damage, or misuse of products during the event, lack of exposure, engagement, or commercial return, or any indirect or consequential loss arising from participation. Participation is at the Partner's own risk.
The Organiser reserves the right to remove a Partner if obligations are not met, and to decline or withdraw product inclusion at its discretion.
The Partnership Fee is non-refundable unless otherwise agreed in writing.
